Privacy Policy

This Policy explains how RonRecruiter JOB Board Service handles account, candidate, employer, recruiter, application, message, security, and usage information.

1. Information We Process

RonRecruiter processes information users provide, including account details, company details, job listings, candidate profiles, resumes, cover letters, supporting documents, applications, screening answers, messages, interview records, saved jobs, saved searches, and recruiter invitations.

The Service also processes operational information such as sign-in records, IP-derived security hashes, browser and request metadata, rate-limit events, spam and moderation signals, email delivery events, and audit logs. Location features may process ZIP or postal codes, city and state entries, approximate browser coordinates when a user chooses location search, and cached geocoding results for job listings.

2. How Information Is Used

Information is used to operate the job board, create and secure accounts, publish and moderate listings, process applications, route messages and notifications, support recruiter discovery when enabled, maintain audit trails, detect spam and abuse, improve reliability, and comply with legal or safety obligations.

RonRecruiter does not require job seekers to provide sensitive information that is unnecessary for hiring. Users should not submit government identification numbers, banking credentials, passwords, medical records, or other unnecessary sensitive data in profiles, applications, documents, or messages.

3. How Information Is Shared

Candidate information is shared with employers, recruiters, or hiring-team members when the candidate applies to a job, attaches materials to an application, replies to messages, or enables recruiter discovery. Recruiter discovery is limited to profiles and materials the candidate marks visible and is restricted to verified recruiter-company accounts.

Employer and recruiter information may be visible in public listings, company profiles, candidate messages, moderation workflows, and audit records. Administrators and moderators may access information needed to support the Service, investigate abuse, enforce terms, or comply with lawful requests.

4. Resumes and Uploaded Documents

Uploaded PDF and DOCX files are scanned when malware scanning is configured, rate limited, and served with no-store caching headers. Depending on deployment configuration, files may be stored in MySQL or on the server filesystem. Recruiters cannot download recruiter-visible documents unless the candidate opted into visibility and the recruiter is attached to a verified company.

5. User Choices

Candidates can choose whether their profile is open to work, whether verified recruiters may find them, which saved materials are visible to recruiters, and which materials are attached to each application. Users can update account, profile, company, listing, search, notification, and document information through the portal where those controls are available.

Browser location search is optional and runs only after the user chooses it. Users can decline browser location permission and continue using city, state, ZIP, postal, or remote search.

6. Retention

RonRecruiter keeps information while needed to provide the Service and may retain applications, messages, audit logs, security events, moderation records, backups, and transactional records after a listing or account is closed when needed for fraud prevention, dispute handling, legal compliance, security, or service integrity.

7. Security

The Service uses server-side sessions, CSRF protection, role checks, rate limits, anti-spam checks, password hashing, optional email verification, optional Cloudflare Turnstile, upload validation, malware scanning support, security headers, and audit logging. No internet service is completely secure, so users should limit submissions to information needed for legitimate hiring activity.

8. Third-Party Services and Job-Search Safety

External application links, email delivery providers, anti-spam services, map or geocoding providers, hosting companies, and employer systems may have separate privacy practices. Review those policies before submitting information outside RonRecruiter.

For safety guidance, review the FTC job scam guidance, the FTC consumer privacy resources, and the EEOC employment-practices guidance.

9. Updates and Contact

This Policy may be updated as the Service changes. Material updates may be shown in the account portal or linked from the job board. Privacy requests and legal notices should be sent through the contact method published on the Service or configured by the deployment owner.
